At SigncodeUK C.I.C., we fully respect and are committed to protecting your privacy. This Privacy Policy lets you know how your personal information is captured, processed and used by ourselves. We will take all the necessary steps to ensure we use your personal information only in ways that are compatible with this Privacy Policy.

The following policy is only in effect for the web pages and newsletters owned and operated by SigncodeUK C.I.C.

How Signcode may use your personal data

Email sign up

We ask for your first name, last name and email address when you register to receive email newsletter updates including marketing and promotions. You will only get these updates if you have given consent to receiving them on sign up. You may opt out at any time by unsubscribing from the email via the “unsubscribe” link, or by requesting to be removed by emailing info@signcodeuk.com.

Subscription services/Training courses

When you become a member of SigncodeUK C.I.C.’s subscription service, we ask for your name, email and payment information in order to process your payment and grant you access to the training materials. These will also be used to issue your certificate upon completion of your course. Payment information is processed through PayPal, so SigncodeUK C.I.C. does not store your bank details on our servers. To understand more about how your payment information is collected, stored and used, please refer to the privacy policy and user agreement published by PayPal.

Third parties

SigncodeUK C.I.C. may share general, aggregate data with third parties, for example, we share Wistia video analytics with iBSL, Mersey Care and our interpreter partners.

Surveys

We may also request your e-mail address or mailing address for the purposes of conducting a survey or to provide additional services (for example, subscriptions to e-mail newsletters, announcement lists or information about conferences and trade shows).

When we carry out a survey, the results are aggregated and shared with our interpreter partners. Your identity cannot be determined from this data.

Our survey data is collected anonymously to find out more about people’s experiences of BSL access. We do not keep individual replies once they have been collated within 4-6 weeks of receiving a survey response. We only store collated results thereafter. Individuals cannot be identified from collated information.

Marketing

We may from time to time send emails announcing new SigncodeUK C.I.C. products and services. Except as stated above, SigncodeUK C.I.C. will not send you e-mail that you have not agreed to receive.

Please note: SigncodeUK creates videos and other BSL products for our clients which display our logo alongside the client’s logo. When you are using our clients’ products and they ask for your personal information, it is they who store and process your data, not SigncodeUK, so you should read their privacy policy to find out how they use your personal information.

Clients

We keep data on file regarding our clients so we can provide our service in line with our contractual obligations.

We retain our clients’ data for 12 months after the contract has ended, after which time, it will be deleted securely – See “Retention and Disposal of Personal Data” below. We will remove all your data from our servers, email lists and
CRM databases.

Cookies

Cookies are small files that a website owner may place on your computer which collects information about your usage of the site.

Examples of this include:

  • pages you have visited
  • what you have clicked on
  • how long you spend on the website.

Essentially any action you take on a website can be tracked for the purposes of creating a better experience for you.

Note: While Google Analytics collects information about your usage of the site, we cannot identify you from this information.

While cookies are commonplace, we understand you may not be comfortable allowing them on your device. You can disable them in your web browser settings.

If you do decide to disable your cookies, you may find certain parts of the site don’t work so well, but you can still browse our site as normal.

Retention and disposal of personal data

SigncodeUK C.I.C. has a retention policy and disposal schedule to determine how long we keep various forms of data for, including documents containing personally identifiable information. Your data is deleted or securely destroyed once the retention period is over.

In most cases, we retain client data for 12 months after the end of the contract unless you request to have your data erased before the end of the retention period.

Disclosure

SigncodeUK C.I.C. will disclose personal information and/or the company address when required by law or in the good-faith belief that such action is necessary to:
1. Cooperate with the investigations of purported unlawful activities and conform to the edicts of the law or comply with legal process served on SigncodeUK C.I.C.
2. Protect and defend the rights or property of SigncodeUK C.I.C. and/or of sites and related properties
3. Identify persons who may be violating the law
4. Fulfill a user’s order or request.

How we protect your information

SigncodeUK C.I.C. uses reasonable precautions to keep the information disclosed to us secure. However, unfortunately, security breaches cannot be guaranteed against despite our best efforts to protect your data, so please be aware of this when volunteering personal information to SigncodeUK C.I.C.

Where SigncodeUK C.I.C acts as data controller for the data submitted to these websites, we accept responsibility for how your data is transferred, managed and processed in line with the consent you have provided. Data we transfer includes anonymous survey results to our survey company and video statistics from our video hosting provider, none of which is personally identifiable.

In the event that SigncodeUK C.I.C. and its stock and assets is sold to another company, under transfer of ownership your data will be protected and managed and owned by the new company and will be processed dependent on the permissions you have granted SigncodeUK C.I.C., not for any other purposes without your consent.

If you access one of these links, before submitting any personal information, it is your responsibility to check the privacy policies of the other website, as we cannot vouch for the security of any website not owned and controlled by SigncodeUK C.I.C.

Please keep in mind that whenever you voluntarily disclose personal information online — for example through e-mail, discussion lists, on social media platforms or elsewhere — that information can be collected and used by others. In short, if you post personal information online that is accessible to the public, you may receive unsolicited messages from other parties in return. Ultimately, you are solely responsible for maintaining the secrecy of your personal information. Please be careful and responsible whenever you’re online.
